All bookings are made upon and are subject to the following terms and conditions as at 1st January 2020:
Confirmation
Tentative bookings may be made but are only valid for one week from the date of booking. To confirm your booking please forward the requested deposit within 7 days of making your tentative booking. Management reserves the right to cancel the booking should this deposit not be received within the requested time frame and may allocate the space to another client. The deposit is non-refundable.
Cancellation Policy
If the booking is cancelled less than four weeks prior to the function, the credit card will be charged 50% of the food component and room hire or minimum spend (whichever is applicable).
If the booking is cancelled less than one week prior to the function, the credit card will be charged 75% of the food component and room hire or minimum spend (whichever is applicable).
If the booking is cancelled less than 48 hours prior to the function, the credit card will be charged 100% of the food component and room hire or minimum spend (whichever is applicable).
Set Up and Delivery
Access to the room or venue will only be given to the host of the function 30 minutes prior to the event unless prior arrangement with the Manager. Service will not commence until the intended start time of the function as stated on the booking form. All deliveries for a function should be made no earlier than the day before the event in accordance with our opening hours clearly marked with the name and date of the function. Please discuss with the Manager prior to hanging any signage, images, promotional material or other.
Catering & Final Numbers
APOTECA retains the right to provide all catering on its premises. No food or beverage may be bought into the premises without the prior consultation of the Manager. A guaranteed minimum number of guests must be advised 3 full working days prior to the date of the function and the client will be charged for this number or any increase thereafter. It is the responsibility of the client to contact us regarding final numbers and any dietary requirements. Should a guaranteed number not be received the estimated attendance will be final.
Price variation & Surcharges
We cannot control increases in wine costs or even a change in vintage. Every endeavour will be made to maintain prices as printed; however, these are subject to alteration without notice. All prices are inclusive of GST. A labour charge will apply for each additional hour or part thereof that a function is serviced after 1 am without scheduled catering. In the event function spend is to be capped, it is the responsibility of the client to advise management.
Damage and conduct
Management and staff will abide by all conditions set down in the Liquor Licensing Act and will promote the Responsible Service of Alcohol. The client is financially responsible for any damage occurring to the bar, by the organiser or invited guests. The bar reserves the right to exclude or eject any or all-objectionable persons from the function or bar without liability. APOTECA will take all necessary care but accepts no responsibility for damage or loss of goods left at the establishment prior, during or after the function. Smoking is permitted in outdoor areas only.
Sound levels
We reserve the right to control sound levels at your function. As this is a multi-use venue sound levels cannot be guaranteed and no liability will be accepted. Karaoke and juke boxes are not permitted.
Menu Selection & Beverages
All beverages are charged on consumption. All beverages must be pre-selected from the beverage lists provided. Selection of the food and beverage menu is to be made no later than 14 working days prior to the function. In some instances beyond our control, beverages selected will not be available and we will replace with an alternative. We will do our best to notify in you advance.
Exclusive use of an area
APOTECA welcomes the exclusive use of our spaces for private functions. We do, however, require a minimum spend amount in these rooms*. This amount is payable (in addition to the food component) fourteen working days prior to the function. APOTECA reserves the right to cancel the function in the event full payment has not been received by the due date and any deposit paid will be forfeited. APOTECA does not refund any shortfall between the minimum spend and the final amount spent at the function. Function amounts that accrue over the minimum spend are payable at the conclusion of the function by Cash or Credit card. Cheques are not accepted.
